Email Signature Generator

Build a clean support-team email signature with name, title, contact details and hours. Copy it formatted for Gmail or Outlook, or copy the raw HTML.

A support signature does one job a sales signature doesn't: it tells the customer when they'll hear back. Without a hours line, every reply looks like it came from someone sitting there waiting, and a customer who emails at 11pm has no idea if the next message arrives in an hour or three days.

This tool builds a signature from your name, title, company and contact details, plus an optional hours line, in one of three layouts. Copy it as rich text to paste straight into Gmail or Outlook, or copy the underlying HTML for a helpdesk's signature settings. It runs in your browser; nothing you type is sent anywhere or stored.

Your name

"Copy signature" pastes as formatted text into Gmail, Outlook and Apple Mail signature settings. "Copy HTML" is for a helpdesk that takes raw HTML.

This ran in your browser on what you typed. The product runs on your actual calls, chats and emails.

How to read it

What each input means

  1. 01

    Full name and job title

How you sign an email today — first and last name, then the title under it, exactly as you'd want a customer to see it. This is the only part that changes per person.

  2. 02

    Company, email, phone and website

The shared details for the team: company name, the support address a reply-to should go to, a phone number if the line is published, and the site URL. Leave phone blank if the team doesn't take calls.

  3. 03

    Hours line (optional)

A short line like "Support hours: Mon–Fri 9–6 ET" so a customer emailing outside them knows what to expect. Leave it blank to skip it — not every team wants to publish hours.

  4. 04

    Layout

Stacked puts each field on its own line; Two-line fits name and title on one line and contact details on the next; Minimal drops everything but name, company and one way to reach you. Pick whichever fits your team's existing emails.

  5. 05

    Copy signature or Copy HTML

"Copy signature" copies rich text formatted to paste into Gmail or Outlook's signature box. "Copy HTML" copies the underlying markup, for a helpdesk or mail client that asks for HTML directly.

Questions about this tool

Click "Copy signature", then in Gmail go to Settings → General → Signature, create or edit one, and paste — the formatting comes with it. In Outlook, open Settings → Mail → Compose and reply → Signatures, paste into the editor the same way. Both keep the layout and links; neither needs the HTML version.
