How to read it

What each input means

    Auto-reply type

    Ticket received is the acknowledgement your helpdesk sends on every new ticket. After hours and Holiday closure go on the shared inbox outside staffed times. Out of office is one person's mailbox, and reads differently: it names a colleague, not a queue.

    Business name and what it does

    The name as customers know it, and a few words on what you do. The draft uses it in the first line and to pick sensible nouns — order, account, booking — instead of generic ones.

  3. 03

    Hours, or the date you're back

    For a support inbox, the staffed hours with the timezone. For a closure or an out-of-office, the date you are back — and if it is a holiday, whether the date is when the office opens or when the backlog is cleared.

    Where to go meanwhile

    Every self-service route you have: the help center, a status page, an order-tracking page, a phone line if one is staffed, an emergency contact if there is one. One per line with the URL. This is the part most auto-replies leave out and the part customers use.

    Tone

    Warm, Professional or Brief. Auto-replies are read on a phone by someone mildly annoyed; Brief is usually right. Warm suits a holiday closure. Professional suits a B2B inbox where the reader is forwarding it to their boss.
