How to read it

What each input means

    Topics, one per line

    The questions, in the words customers use — "Where is my order", not "WISMO". Start with your top ten by volume; your helpdesk's tag report has them. Ten to fifteen per run is the sweet spot; more than that and the drafts get thin.

    Business name and what it does

    The name and what you sell, so the responses use your nouns — plan, workspace, order, appointment — and say your name where a customer expects it. One line is enough.

    Format

    Plain text gives you a title and body per topic. Zendesk macro, Intercom saved reply and Freshdesk canned response follow that tool's shape: its placeholder syntax for the customer's name, and a title that sorts sensibly in its list. Pick the helpdesk you'll paste into.

    Tone

    Warm, Professional or Brief, applied to the whole set so they read as one team. Brief is usually right for macros — they are edited on the way out, and a short one gets edited less.
