How to read it

What each input means

    Conversations per month

    All channels: website chat, email, phone. Your helpdesk or inbox has the number; for phone, your provider's call log.

  2. 02

    Minutes per conversation

    Average handle time, including the follow-up. Five to eight minutes is typical for a support question; a booking call is often shorter.

  3. 03

    Hourly cost

    Fully loaded — wage plus taxes, benefits and the tools they use. If the owner is answering, use what an hour of the owner's time is worth to the business.

  4. 04

    Deflection rate

    The share an agent resolves without a person. Be conservative: 40–60% is realistic for a business with a decent website and FAQ. Above 70% is rare and worth verifying with a pilot.

  5. 05

    Voice share

    What fraction of your conversations are phone calls. Voice is priced per minute rather than per answer, so this changes the agent's cost materially.
