Quick heads-up: you’re speaking with an AI assistant, and this call may be recorded. It’s off by default. Turn it on if your callers need to be told either of those things.
Why it matters
Every call is transcribed, and the transcript is stored in Conversations. Several US states require the other party’s consent before a call is recorded, and those two-party-consent states, including California, Washington, Illinois, Massachusetts and Pennsylvania, generally require telling the caller. A growing number of places also require telling people when they’re talking to an AI. It’s off by default because it’s the first thing a caller hears, ahead of the greeting you wrote, and many businesses don’t want it there. If you take calls from anywhere that requires it, turn it on. This page isn’t legal advice; check what applies to you.The wording says the call “may be recorded”. WireDesk stores the transcript, not the audio. There is no audio recording to retrieve.
Turn it on
1
Open the phone settings
Go to Agents → your agent → Channels → Phone.
2
Tick the checkbox
On the How it sounds card, tick On phone calls, say it’s an AI and the call may be recorded.
3
Save
Click Save changes. The next call starts with the notice.
What callers hear
With the notice on, the agent’s first turn is the notice followed straight away by your greeting, for example:Quick heads-up: you’re speaking with an AI assistant, and this call may be recorded. Thanks for calling — how can I help? The wording is fixed. You can’t edit the sentence itself, and you can’t move it after the greeting.
Where it doesn’t apply
- Website chat and email never include it.
- Browser voice tests never include it, since you’re the one on the call. To hear it, call the agent’s number.
